The purpose of the position provide vital support to product managers, warehouse manager, division’s sales & operations teams by handling administrative tasks, reports, promotions, specials, communication, assist in monthly marketing strategies and assist senior management by performing clerical duties.

Requirements:

  • Grade 12
  • Competency in MS Office, Excel and databases
  • Strong organizational skill and analytical skill
  • Computer Skills - Adobe Acrobat DC, MS Office, Word and Excel
  • Good Communication skills - verbal and written
  • Highly focused and deadline driven
  • Ability to work under pressure
  • Must be flexible
  • Must demonstrate a high level of integrity
  • Good command of the English and Afrikaans languages, both written and spoken
  • Sound organizational and interpersonal skills

Key Performance Indicators will include, but not limited to;

Daily
Updating insurance RFQ reports.
*Weekly

  • Liaising with catalogue team and warehouse manager to arrange parts for imagery.
  • Processing stock write off orders for all branches as per branch managers and PM’s.
  • Weekly reporting on Santam, CBS, Ferrobrake, Motolek based on sales representatives’ information received.
  • Managing and updating insurance portal with vehicle parts, makes, models, contact information etc.
  • Liaising with marketing suppliers on a daily / weekly and monthly.
  • Weekly reporting on online leads to update customer contact information.

Monthly

  • Placing stock orders and following up on outstanding orders.
  • Communicating with suppliers and updating contact information.
  • Stock replenishment in branches as directed by line manager, PM’s, and requested by branch managers.
  • Put together new product information and send it to sales team as directed by line manager and PM’s.
  • Monthly reporting to management on Santam, CBS, Ferrobrake, Motolek, stock availability, European buyouts, and backorders.
  • Monthly calendar setup for brand-, product-, and special advertising.
  • Monthly content set-up for brand-, product-, and special advertising working with marketing departments.
  • Monthly marketing review reporting to management.
  • Marketing collateral design impression ideas (pamphlets, flyers, company
  • profile, stickers, corporate gifts, etc.) working with marketing departments.
  • Distribution of marketing collateral to all branches.

General (Any time in a month)

  • General admin and filling.
  • Liaising with branch managers and administrators regarding stock queries and orders.
  • Updating retail prices when received from suppliers and as directed by line manager.
  • Setting up and updating customer deals and discount matrix as directed and requested by management.
  • Processing on misc. invoices and stock write offs for job lot sales.
  • Sales incentive reporting when competitions are running and filling in for other administrator when absent.
  • Taking minutes for management, procurement, sales, and marketing meetings.
  • Catalogue and training manual set up along with PM’s.
  • Compiling signage impression ideas for branches buildings and vehicles working with marketing departments.
  • Arranging and coordinating signage for branches buildings and vehicles.
  • Yearly calendar design impression ideas working with marketing departments
  • Ad hoc duties on operational requirements
