The Management Support department is inserted in the unit Territory Procurement & Transversal SSC, which aims to ensure a robust control and oversight frameworks to protect our business services and lead our transformation to strengthen our platform’s operational resilience.
The Management Support team is in charge of the on boarding, off boarding, contract management, budget follow-up, invoicing of external staff and all related data enquiries. Through continuous improvements of processes, the team drives innovation and strives to reduce transactional costs through continuous streamlining of the activity processes and by adopting a partnership approach to accompany our clients and suppliers on their journey. The team works with both internal and external clients and suppliers located in different locations.
Your Main Activities Are
- Deliver a harmonized on-boarding & off-boarding process for external staff across different scopes
- Contribute to reduce the security & compliance risk identifying and reporting risk situations on the processes (example: leavers identified too late)
- Contribute to data quality control and follow up (request corrections in case of anomalies)
- Process direct expenses and external staff invoicing management
- Perform the payment follow-up for FAP (AE & DE)
- Produce KPI & dashboards
- Execute Monthly accruals reporting to Finance of external staff
- Centralize all data to perform more accurate Accruals of External staff (AE)
- Produce reports at entity level and for a variety of stakeholders/ internal departments
- Contribute to reduce current and future operational risk & workload on management
- Centralize all data to perform accurate reporting (HC Analysis, Collecte des Effectifs & Forfaits)
- Identify and correct issues or errors, escalating in case of any exceptional or irregular situation
