What you will do
Metyis is growing! We are looking for an Office Assistant to join our Porto team!
The Office Assistant forms part of a Metyis local Enabling functions team.They are responsible for performing advanced, specialized and administrative duties as a key part of this growing team.
In your new role, you will:
- Be responsible for the efficient and smooth functioning of the entire office through a range of administrative and managerial task, by aligning and coordinating with different teams and needs
- Provide general support to visitors
- Help in developing and maintaining intra-office communication protocols, procedures and guidelines
- Be responsible for Stock Management - purchase office supplies and equipment and maintain proper stock levels - whether it is stationary, IT Assets or project-related requests
- Work closely with other Department Heads to build a healthy work environment
- Be responsible of (E)Mail management
- Knowledge of Standards, Regulations and Legislation
- Be Managing invoices from vendors/suppliers to assist the Financial department
- Schedule meetings and appointments within the office, when needed
- Address employees queries regarding office management issues (e.g. stationery, IT assets, travel arrangements and others)
- Liaise with facility management vendors, including cleaning, catering and security services
- Help remotely in the efficient and smooth functioning of other Portuguese offices (e.g. Faro and Lisbon), by aligning and coordinating with different teams and needs.
What you’ll bring_**
- Bachelor’s Degree with background in Management, Communication or HR
- 1-year of professional experience in similar role
- Excellent communication skills in Portuguese and English, both written and oral
- Excellent organizational skills
- Ability to deal with issues in a confidential, professional, reliable and sensitive manner
- Flexible mind-set and team player spirit
- Good organizational and time management skills
- Proficient with Microsoft Office Suite (Office, Powerpoint and Excel)
- Effective use of digital collaboration tools (MS teams, SharePoint or equivalent)
