The role of Operations Fleet Coordinator
The Operations Fleet Coordinator plans, directs and controls the daily scheduling and allocation of fleet equipment and drivers. The Fleet Coordinator is also in charge of dispatching and communication functions to create optimal utilization of the fleet. Will maintain constant communication with drivers to ensure safe operation & compliance with regulatory requirements.
Main Responsibilities
- The first point of contact for all drivers and facilities including but not limited to delivery/pick up information, delivery times, routing, driver locations, vehicle maintenance and any other concerns of drivers or facility personnel
- Sets schedules, routes, and assigns drivers and vehicles
- Trains and monitors the performance of drivers
- Check-in drivers as they arrive from their runs. Determine available starting times for their next dispatch
- Completes data entry to update trip data
- Ensure safety and regulatory compliance by advocating all company best practices developed to attain all related goals
- Schedule and manage preventative maintenance on all vehicles
- Identify and prepare a list of available drivers for the next schedule of deliveries/relocation bearing in mind available hours, DOT regulations/compliance, organisational needs and customer needs
- Reinforce company policies, procedures, and goals
- Coordinates registrations, insurance, and other related record-keeping for fleet vehicles
- Coordinates the vehicle insurance claims management process
- Suggest opportunities to reduce costs and improve fleet operations
- Report to the Line Management on different operations issues and problems
Requirements:
- Skilled in Microsoft Office (Word, Excel, PowerPoint, Outlook, etc.)
- Display a high level of attention to detail, along with excellent organizational skills
- Demonstrated ability to manage drivers
- Ability to efficiently manage and prioritize multiple projects in a fast-paced environment
- Detail-oriented and conscientious
- Team-oriented with the ability to communicate clearly both verbally and in writing
- Maintain confidentiality of sensitive information
