Ashfield Engage is looking for an HR Assistant summer student that will provide administrative support and will work closely with the HR Manager and Recruitment team. They will support crucial functions to support our employees including onboarding, payroll, health and safety and benefits. The HR Assistant can work from home or hybrid. The HR Assistant will be reporting to the HR Manager.
- Key Objectives:
- Support all internal and external HR related inquiries or requests.
- Maintain digital and electronic records of employees.
- Serve as point of contact with benefit vendors and administrators
- Support HR and Recruitment Team on approved offer letters and related documents to new hires.
- Support Recruitment Team on initiating background checks.
- Assemble new hire packages and ensure that related Human Resources documentation and forms are current
- Prepare for HR Orientation Day and for Enrolment to Group Benefits
- Assist in preparing final termination paperwork for departing staff members.
- Prepare and ensure accuracy of required HRIS reporting
- Assist HR in tracking the referral bonus program
- Inform appropriate departments on new hires and leavers through the Company system
- Prepare PowerPoint presentations related to Human Resources lunch and learn employee training sessions
- Assist with performance management procedures
- Assists with other HR tasks as required
Job Holder Specification:
Bachelor's degree in Human Resource Management or studying toward a degree in human resource management or related field.
- Fluently bilingual in French and English (oral and written)
- Ability to recognize confidential information and maintain a high level of confidentiality
- Strong attention to detail and excellent time-management skills
- Excellent skills in Outlook, Word, Excel (including ability to write formulas) and PowerPoint
- Ability to learn new software programs and systems, including HRIS
- Excellent written, verbal, interpersonal and presentation skills
- Strong analytical and problem-solving skills
- Excellent active listening skills
- Knowledge of office administrative procedures
- Understanding of general Human Resources practices
- Computer literacy and tech savvy
- Strong Emotional Intelligence and empathy towards others
- Excellent organizational skills
