Description
We are looking for a Receptionist to cover our main reception in Hartlepool on a full-time basis. **The hours are Monday to Friday from 8.45am to 5.00pm with an hour for lunch.
You will need to present a professional image of the Firm and deliver a helpful service at all times, maintaining excellent standards of client care in regard to both existing and new/potential clients. You should also be willing and able to assist with administrative tasks and audio typing for the legal departments during quiet periods.
Main duties and requirements
- Meet and greet visitors to the office and make them feel welcome and comfortable
- Ensure staff are aware of their clients arriving in a timely manner
- Keep the reception area and meeting rooms clean and tidy to present a good impression of the Firm.
- Maintain an up-to-date knowledge of the range of legal services offered throughout the Firm, in preparation for new enquiries and ensure the team is supplied with up-to-date information.
- Liaise with HR to maintain an up-to-date knowledge of all the Partners and Staff who work for the Firm and ensure the team is supplied with up-to-date information.
- Respect the privacy of clients when taking details at the reception desk.
- Ensure the meeting rooms are scheduled properly and available for the people who have booked them.
- Assist with ad hoc admin tasks.
- Ensure the Attendance Sheet is completed by all staff and sent to HR on a daily basis.
- Any other duties reasonably required within the scope of this role.
Preferred skills and experience
- Experience of reception/secretarial/administration work in a legal or other professional services environment.
- Ability to demonstrate excellent standards of client care.
- Ability to project a calm and professional image at all times, whilst maintaining a friendly and welcoming approach.
- Ability to ensure that the Firm’s reception facilities are of a good presentational standard at all times.
- Ability to organise and prioritise personal workload.
- Good keyboard skills, including Microsoft Office.
- Good team working skills, including flexibility and the ability to work communicatively and cooperatively with colleagues.
- Excellent communication skills; keyboard, written and oral.
- Good typing skills would be an advantage.
