- Book meeting venue ahead of scheduled meetings.
- Draft necessary correspondence where required.
- With a minimum of information, anticipate priorities and schedule accordingly.
- Put reminders into manager’s diary of deadlines to be met and correspond accordingly.
- Prioritize appointments and adjust if required and inform relevant parties timeously.
- Invite and confirm attendance of invitees to meetings and confirm manager’s attendance to meetings.
- Co-ordinate conference calls and ensure all links are in place and working order.
- Take minutes where required and circulate the minutes to the relevant parties.
- Plan ahead in scheduling recurring events.
- Demonstrate assertiveness when necessary when prioritizing demands
- Acting as the point of contact between executives and employees.
- Provide strong administrative support primarily to the Director
- Source, collate and create documents to the required standards within defined timeframes.
- Minute, transcribe and circulate various minutes of meetings as required.
- Perform any reasonable adhoc duties as required within the department
- Demonstrate flexibility and openness to change.
- Ensure the achievement of deadlines and management of deadlines.
- Take ownership and accountability for tasks and activities and demonstrate effective self-management.
- Maintain a positive attitude and respond openly to feedback.
- Manage colleagues and client’s expectations and communicate appropriately.
Qualifications and Experience:
- A minimum of 1 year experience as a Personal Assistant
- Strong communicator
- High level of English proficiency
- Strong organizational abilities
- Full comprehensive knowledge of all Microsoft Office packages
- High level of confidentiality
- Deadline driven
- Self Starter
- Valid Drivers’ licence
