[full-time] Finance and HR Manager (Aka Swiss Army

The Office & Finance Manager will lead and implement organisational processes, enabling ACRES to smoothly and effectively advance our mission in animal advocacy.

What will you do?

  • Oversee end-to-end finance operations while ensuring compliance with accounting policies, procedures, and regulations. This includes budgeting, coordinating with the accountant in preparation of management accounts, preparing claims and payments before routing for approvals, submitting monthly and quarterly financial analysis, liaising with auditors.
  • Ensure compliance with regulatory requirements and organisational SOPs; Oversee donor management system by serving as Salesforce admin, for inputs to fundraising strategy of the organisation; preparing and reviewing governmental requests for information where required.
  • Management: Ensure smooth running of the office and the team, enabling ACRES to advance our cause. Supervise 1 admin executive, and 1 outsourced accountant.
  • Finance functions:Reviewing financial reports related to budget, account payables & receivables; liaise with external auditors and successfully complete annual financial audit; respond to management queries with sound advice on financial reports for decision-making purposes.

How will you do it? (Responsibilities and Duties)

  • Provide administrative support for ACRES in an organised and timely manner, by being responsible for tasks related to finance, operations and HR functions.
  • Carry out and/or supervise administrative operations such as, but not limited to banking in donations, preparation of payment vouchers, generation of pay slips, tracking of restricted donations and grants, etc.
  • Ensure the necessary documents are provided to the accountant to facilitate timely closing and processing of donations.
  • Ensure implementation and adherence to regulatory and organisation requirements.
  • Review and ensure compliance with organisational SOPs.
  • Update donor database and collaborate across the organisation to support donor experience.
  • Track and monitor restricted funds and budget, and prepare monthly and quarterly updates for the management review.
  • Prepare financial reports as required for grants or regulatory purposes.
  • Liaise and correspond with agencies on required information where needed.
  • Ensure safe upkeep of records related to the above.
  • Together with the admin executive, ensure that all records for finance, compliance and HR processes are archived for references and audits.

In addition, we are looking for someone who has/is a:

  • Strong background in admin, finance and human resources with at least 3 years of relevant experience.
  • Team player and people-oriented.
  • Ability to take ownership and work independently.
  • Keen eye for details, accuracy and quality of work.
  • Strong analytical and organizational skills.
  • Proficient in Microsoft Office and English.
  • Experience in donor management tools (SalesForce preferred).
  • Work weekdays 9:30am to 5pm; able to work from office at least 3 days a week.
  • Only Singaporeans and PRs may apply, due to regulatory requirements.

Salary: $3,300.00 - $3,500.00 per month
