Receptionist (Contracting) Job Description

Key Responsibilities

1. Welcoming Visitors and Clients:

  • Greet visitors and clients warmly and professionally.
  • Direct visitors to the appropriate departments accurately.
  • Provide basic information about the organization and its services.

2. Managing Phone Calls:

  • Answer incoming calls in a polite and friendly manner.
  • Transfer calls to the relevant departments smoothly.
  • Record important notes and messages and redirect them to the appropriate individuals.

3. Handling Correspondence:

  • Receive and distribute incoming mail systematically.
  • Prepare outgoing mail and deliver it through appropriate channels.
  • Record and follow up on requests and correspondence to ensure effective responses.

4. Scheduling Appointments:

  • Manage employees' schedules efficiently and systematically.
  • Arrange appointments for meetings and interviews according to the appropriate timing.

5. Administrative Support:

  • Provide administrative support to the management, including arranging travel and reservations.
  • Assist in other administrative tasks as needed.

6. Team Growth and Development:

  • Take ownership of personal growth and development by proactively seeking opportunities to enhance skills and expertise.
  • Stay updated on industry trends, emerging technologies, and best practices in design.

7. Other Duties:

  • Perform additional tasks and responsibilities as assigned or instructed by leadership to support the overall goals and mission of the company.

Qualifications:

  • Bachelor's degree in Business Administration or Management Information Systems from a recognized official university.
  • Minimum of two years of experience in the contracting field.
  • ICDL certificate is an additional advantage.
  • Excellent communication skills in both Arabic and English.
  • High proficiency in using the computer and its various programs (Word, Excel, PowerPoint, database, Outlook).
  • Ability to work under pressure and in various conditions.
  • Excellent organizational and time management skills.
