Position Overview:The receptionist will serve as the first point of contact for all clients and visitors at our Visa Consultancy firm. They will manage front desk activities, direct clients to the appropriate consultants, and ensure the smooth operation of our office.
Key Responsibilities:
Welcoming and Greeting: Warmly greet clients, visitors, and guests as they arrive and direct them appropriately. Ensure visitors sign in and receive visitor badges where necessary.
Telephone Handling: Answer incoming calls, screen and forward to the appropriate consultant, or take messages as required.
Appointment Scheduling: Coordinate with consultants to schedule client appointments and manage any rescheduling or cancellations.
Maintain Reception Area: Ensure the reception area is tidy, presentable, and stocked with necessary materials like brochures, forms, and refreshments.
Administrative Tasks: Perform various clerical tasks such as filing, photocopying, and data entry.
Feedback Collection: Obtain feedback from clients regarding their consultation experience and relay feedback to management.
Skills and Qualifications:
High school diploma or equivalent; associate's or bachelor's degree preferred.
Previous experience as a receptionist or in a customer service role is beneficial.
Proficiency in office software such as MS Office, especially Word and Excel.
Strong verbal and written communication skills.
Exceptional organizational skills and attention to detail.
Ability to work in a fast-paced environment and handle stressful situations calmly.
Willingness to learn is a must
