Your administrative work supporting CPA/Tax/Legal practices and partners will be invaluable in creating a smooth flowing, efficient, and organized tax practice. The Tax Administrator supports the day-to-day operations of the tax practice by managing client documentation, coordinating tax filings, tracking deadlines, and ensuring accurate administrative processes. This role is critical to keeping the firm organized, compliant, and responsive during tax season and year-round.

Key Responsibilities

Client & Tax File Management

  • Open, maintain, and close tax client files (individual, business, and entity returns)
  • Collect, organize, and track client tax documents (W-2s, 1099s, K-1s, prior-year returns, etc.)
  • Ensure completeness of client files prior to preparer review
  • Upload, label, and store documents in the firm’s document management system

Workflow & Deadline Tracking

  • Track tax return status from intake through filing
  • Monitor federal, state, and local tax deadlines
  • Maintain tax season calendars and extension logs
  • Follow up with clients for missing information

Tax Filing & Compliance Support

  • Prepare and process tax return extensions
  • Assemble and route completed tax returns for review, signature, and e-filing
  • Track e-file acknowledgements and resolve basic rejections
  • Assist with estimated tax payment reminders and confirmations

Client Communication

  • Serve as a primary administrative point of contact for tax clients
  • Send engagement letters, organizers, and secure portal instructions
  • Communicate deadlines, missing items, and filing confirmations professionally

Billing & Administrative Support

  • Assist with invoicing and billing coordination
  • Track billable vs non-billable administrative time
  • Support partners and tax staff with general administrative needs

Qualifications

Required

  • 2+ years of administrative experience, preferably in a CPA or professional services firm, such as a law firm.
  • Strong attention to detail and organizational skills
  • Ability to manage multiple deadlines in a fast-paced environment
  • Professional written and verbal communication skills

Preferred

  • Experience supporting a tax or accounting practice
  • Familiarity with tax software (e.g., CCH, UltraTax, Lacerte, ProSeries)
  • Experience with document management systems and secure client portals

Pay: $40,000.00 - $45,000.00 per year
