We are not looking for a basic VA.

We are looking for an AI-driven systems builder who can automate, optimize, and execute across operations, sales infrastructure, procurement, and admin.

Your Mission

Build and optimize the operational engine behind a high-growth wellness distribution company.

You will combine:

  • AI automation
  • CRM and pipeline optimization
  • Admin execution
  • Procurement coordination
  • Workflow design
  • Reporting and performance tracking

Your job is to make the company run smoother, faster, and smarter.

Core Responsibilities AI & Automation

  • Build AI automations using tools like GoHighLevel, Zapier, Make, Notion, OpenAI, etc.
  • Automate lead follow-up sequences
  • Create AI-powered sales and support workflows
  • Improve speed-to-lead and pipeline efficiency
  • Build internal dashboards for reporting and KPIs

Sales & CRM Optimization

  • Maintain clean pipelines (New → Talked → Priority → Ordered)
  • Build automated reminders and follow-up systems
  • Optimize booking and no-show recovery processes
  • Create SOP-based automations for daily sales workflow
  • Improve reporting metrics (contact rate, booking rate, close rate)

Procurement & Logistics

  • Communicate with suppliers and manufacturers
  • Coordinate shipping and delivery timelines
  • Track inventory and order statuses
  • Compare freight options and reduce costs
  • Manage documentation and fulfillment follow-ups

Operations & Admin

  • Create SOPs and improve existing processes
  • Manage documentation across Notion/Drive
  • Organize contracts, invoices, and internal workflows
  • Support CEO with structured execution, not just tasks
  • Identify inefficiencies and fix them without being told

What Makes You a Fit

You are not task-based. You are systems-based.

You:

  • Think in processes and automations
  • Can build workflows from scratch
  • Understand CRM logic and pipeline structure
  • Have strong written communication skills
  • Are comfortable working with high-ticket B2B sales environments
  • Are proactive and solutions-oriented
  • Care about clean data and clean systems

Bonus if you:

  • Have worked in a startup or high-growth company
  • Understand sales operations
  • Have built AI automations before
  • Have experience with wellness, med spa, or medical device industries

What Success Looks Like

Within 30 days:

  • CRM is cleaner and more structured
  • Follow-ups are automated
  • Reporting dashboards are built

Within 60 days:

  • Lead response time improves
  • Pipeline hygiene is strong
  • Procurement tracking is streamlined

Within 90 days:

  • Founder spends less time on admin
  • Sales team runs on systems
  • Automations replace manual work
