Required Education and Experience:

  • Bachelor’s degree in applicable field or equivalent combination of education and experience.
  • Two years of related experience in office administration.

Required Knowledge, Skills, and Abilities:

  • Ability to multi-task and work cooperatively with others.
  • Ability to speak in English and Arabic.
  • Strong knowledge of the culture in Q atar or the GCC countries.
  • Working knowledge of spreadsheet and word processing software program.

Other Requirements:

  • Will be required to work during normal business hours.
  • This position is NOT located in the United States.

Preferred Education and Experience:

  • Bachelor’s degree in applicable field or equivalent combination of education and experience.
  • Three years of related experience in office administration.

Preferred Licenses and Certifications:

  • Certified Professional Secretary (CPS) certification

Preferred Knowledge, Skills, and Abilities:

  • Good communication skills in English.
  • Presentation and computer skills including computer-based data acquisition.

Responsibilities:
Administrative Support:

  • Responsible for the planning and execution of administrative operations.
  • Analyzes requirements for projects or initiatives.
  • Provides technical information regarding administrative procedures, services or programs
  • Applies, and assists in implementing policies and practices.
  • Develops administrative and technical procedures.
  • Monitors office procedures.
  • May monitor compliance with policies and procedures.
  • May attend meetings on behalf of supervisor.
  • May assist with Office management
  • Assists with providing general administrative support to the Department of Admissions
  • Answers phone calls
  • Registers students for English and Math placement exams
  • Follow up with student workers schedule
  • Updates admission forms & information packages
  • Keeps the admissions area tidy all the time
  • Updates and reconciles inventory
  • Provides administrative support for special activities or projects
  • Supervises, trains and evaluates student workers
  • Distributes mail; updates the mail log; prepares and organizes do
  • Provides assistance to staff as requested

Customers and Events Support:

  • Meets and greets visitors
  • Follow up with prospects, applicants, and admits to ensure they complete their files
  • Updates visitors log
  • Prepares gift items
  • Assists the department in preparing for events
  • Attends school fairs or any recruitment activities upon request
  • Prepares school visits schedules

Admission Processing Support:

  • Helps in maintaining electronic and physical files
  • Imaging applicants’ documents
  • Filling physical files
  • Creates hard files and labels for all paper documents
  • Sorts, reconciles and writes UIN / COMPASS ID on documents received from testing agency and schools such as ACT residual, secondary transcripts, reference forms, etc.
  • Follows up with applicants with expired passport copies
