Purpose of Position:
Provide specialist regulatory, logístical and administrative support, throughout the full training cycle, for all crew training events, to execute the Quarterly Training Plan (QTP) in accordance with Training Department policies and procedures. Ensure legal/regulatory compliance and cost effectiveness of training, whilst providing direct support to Flight Operations by providing fully trained and qualified crews to establishment; thereby enhancing safety and owner access/experience.

Tasks and Responsibilities:

  • Execute the Quarterly Training Plan (QTP) for all training events (Initial, Recurrent, Remedial, Upgrades, Special Airports other specialised training), in accordance with crew availability, liaising with all relevant teams (namely Scheduling, Crew Resource Planning and Standards) to ensure legal/regulatory compliance with EASA Air Crew Regulations;
  • Schedule all crew for the required training, optimising flight crew utility and cost efficiency. Duties include schedule modification, slot procurement, Training Authorisation documentation and monthly reporting;
  • Assure Licensing and Qualification validity, via the Training Management System, for all NTA and EJME Flight Crew, Cabin Crew and Flight Dispatchers (licenses, authorizations and medical requirements). Provide timely and accurate communication with staff to ensure prompt validation/renewal, to ensure all these staff are legally qualified to carry out their assigned tasks;
  • Coordinate with National Authorities and provide guidance to crewmembers on crew licencing issues as required;
  • Maintain an accurate record-keeping system (electronic/digital) regarding all Flight Crew, Cabin Crew and Flight Dispatcher training and qualification information in accordance with EASA Regulation and NTA/EJME procedures. Obtain and manage all required crew member/dispatcher documentation, maintaining processes and procedures to demonstrate systematic compliance with legal requirements and provide individual documents on demand to evidence that all crew/dispatchers are legally qualified to carry out their assigned tasks;
  • Complete all the logistics and administrative tasks, providing end-to-end support to ensure that all training events are organized and executed effectively and efficiently according to timeline: right place, right time, proper clearances (including Transport Security Administration (TSA) Clearance), accurate regulatory documentation, accurate record keeping and license management;
  • Monitor and review training progress (IOE, Base Training, ZFTT, Special Airports) against NTA Operations Manual Part D and ATO Manual, working in co-ordination with Flight Operations staff to maximize quality and efficiency of training;
  • Provide out of office hours duty coverage, as tasked, to provide direct support to Chief Flying Instructors and the Head of Crew Training.

Knowledge, Skills, Abilities and Other (KSAOs):

  • Proven knowledge of EASA Part-FCL Regulations is essential, ideally from certified training organization (may be completed during role INDOC);
  • Knowledge of EASA Air Ops is highly desirable;
  • Previous experience working in a heavily regulated environment desirable;
  • Previous flight scheduling/rostering experience desirable;
  • Evidence of organisational skills and attention to detail;
  • Fluency in Business English (written and spoken);
  • High Proficiency in MS Office.
