  • Gauteng- Job Purpose:
  • To provide an efficient and responsive administrative, organisational, and logístical service to the various Directors (x 5) and business areas- Key Responsibilities:
  • Full administrative assistance to various Directors (x 5)- Compiling Board reports and Board packs- Drafting and compiling of various reports / information for Group- External and Internal Communication on industry and company events and news-
  • Main Activities:- Arranging travel, visas and accommodation- Screening phone calls, enquiries and requests, and handling them when appropriate- Monitor requests for a general Company mailbox and distribute to relevant departments for action- Producing documents, briefing papers, reports and presentations- Organising and attending meetings- Monitor incoming notifications from SAAFF, Transnet and others and send out Breaking News communications to clients- Source promotional items and materials and distribute as required - ensure brand guidelines followed- Liaising with clients, suppliers and other staff- Distribute quarterly Company magazine/info to all employees- Manage Company magazine competition results and prizes- Carrying out specific projects and research- Undertake any other duties as requested in accordance with the scope and responsibilities of the role- Planning and organising meetings, events, conferences, travel arrangements and staff functions, accommodation, expenses and any special requirements- Assisting with Ad-hoc projects- Financial Responsibility:
  • Booking of flights, catering and car rental. Ensuring all invoices are in terms of the quotes received.- Process claims for all travel expenses paid from director's private accounts and ensure funds are reimbursed by the company- Ordering of stationary and allocate costs per department- Ordering and purchasing of supplies for office and events as required- Performance Indicators:
  • Timely submission of all reports, briefing papers and presentations- Planning and scheduling of internal and external meetings to ensure adequate preparation and travel time-
  • Timely communication of external and internal communication - Breaking News-
    Inherent Requirements
  • Matric / Grade 12 essential- BA/BCom/Associate Degree/relevant qualification may be deemed advantageous, but not mandatory- 3+ years experience supporting a Director/Senior Management- MS Office (MS Outlook, MS Excel, MS Word and MS PowerPoint) - Advanced level- Advanced level on PowerPoint mandatory-
  • Comfortable learning new technical/computer skills as they arise- Skills:
  • Good secretarial and administrative skills (typing, filing and managing pending system)- Preparing Marketing material and updating various media platforms- Knowledge of Graphic Design and advantage- Exceptional interpersonal skills- Self-motivated with a can-do attitude- Well developed communications skills, verbal and written- Ability to work under pressure, dealing with a variety of tasks at any given time- Flexible and able to meet changing work needs and demands- Accuracy and attention to detail- Systematic, logical and analytical approach- Ability to meet deadlines and schedule time- Mature demeanor
