Job Advert Summary:
Rand Water is currently looking for a Legal Secretary - Operations to provide a personal, efficient, effective and smooth running support service to the Legal Services Manager and the Legal Division in order to enable them to render legal advice and support to the organisation
Minimum Requirements:
- Matric is essential
- Para - Legal Diploma or Secretarial Diploma
- Minimum of 3 to 5 years’ experience in a Property Law Secretarial environment
- 5 years working experience in a Legal environment.
- Computer literacy (MS Office Suite, SAP)
- Valid code 8 drivers licence
Primary Duties:
- Managing the office of the Legal Services Manager and Legal Manager: Operations Division and the Legal Department in general.
- Accurate and efficient typing and filing of general correspondence, minutes, memoranda, presentations and agendas.
- General and paralegal administrative duties.
- Receive visitors, schedule appointments and booking venues, receiving and making phone calls on behalf of the Department.
- Maintenance of the Legal Library.
- Coordinate training for the Division.
- Ensure personal compliance with Health and Safety Standards.
- Typing for all Legal Services staff members, information searches, attend to telephone calls, SAP requisitions and Payments of all accounts, recording of all litigation files for the Department.
- Processing Garnishee orders and other legal documents in line with GLS Protocol.
- Typing letters, memoranda, contracts, opinions and other legal documents.
- Drafting Reports on behalf of the Legal Department, the Legal Services Manager, Legal Manager: Operations and all Legal Professional team members etc.
- Use of search engines, legal database and photostat
- Record all new instructions and keeping and ensuring a proper file management.
- Meeting scheduling, liaison with internal and external Customers/Clients as per mandated and taking of minutes during meetings.
- Overseeing diaries of Legal Services Manager, the Legal Manager: Commercial and other Professional team members.
- Do research in the area of Property law and other relevant areas of law as and when required.
- Keep proper records of servitude registration files.
- General and paralegal administrative duties.
Knowledge:
- Computer literacy in MS PowerPoint, Office, Outlook and Excel
- Accurate Typing ability ( Speed between 50 to 60 WPM)
