A successful Executive Assistant possesses structure, attention to detail, quality focus, high energy and flexibility to a high-paced deadline driven organization. In this role you will need to work well in a team environment, be able to represent the various managers and professionals that you will support. Professional courtesy, business acumen are necessary in order to deliver flawless work output. You are expected to possess strong inter-personal skills to interact with various executive levels and different lines of businesses. You will need to understand and follow procedures, highlight any gaps, follow processes and techniques to complete assignments in line with the department's activities and goals.
Executive Assistant
As an Executive Assistant in the Johannesburg Wholesale Payments, you will be required to support the SSA Wholesale Payments Manager and team as well as other support function in location. You must be able to demonstrate an advanced high level Assistant skillset including confidentiality, strong work ethic, good time management, resourcefulness, diligence, strong business, and client deliverable focus. All applicants should have a solid EA background and skill set working with senior individuals with a strong degree of flexibility given the demanding nature of this role.
Core Responsibilities:
- Correspondence / Communication
- Maintain complex and detailed calendars
- Screen incoming calls and determine the level of priority information
- Work cooperatively with the administrative assistants' team, in positive partnership to support each other smoothly
- Meetings / Conference
- Manage the coordination and logistics of both internal and external meetings
- Record and communicate minutes of BEE meetings
- Efficiently administer tasks relating to the Abadali Black Advisory Committee, Abadali EEIP and Abadali Stories
- Events / Presentations
- Organize all aspects for offsite conferences and external events, including catering and transportation
- Assist in editing spreadsheets and presentations, including designing in powerpoint, printing and binding, for both internal and client meetings
- Expense- Travel
- Arrange and coordinate complicated domestic and international travel
- Others
- Lead and coordinate on ad hoc projects as requested
- Perform monthly tasks such as HR training schedule, maintain and update client lists, etc
- Assist with staff/vendor on-boarding and off-boarding, Know Your Client process,
- Assist with various tasks relating to Audit support
- Manage the Contingent Worker clearance of external parties
- Maintain the Record Retention database
- Maintain current organizational charts and Executive Bio's
- Work with other departments on franchise wide initiatives (organisation of townhalls, strategy day, etc.)
- Cover for other assistants in the SSA franchise when necessary

- Expense Management -awareness of Concur an advantage. Focus on cost control initiatives e.g. can champion expense policy, process expenses in a timely manner
