New York University Abu Dhabi (NYUAD) seeks to appoint an Administrative Assistant for Campus Services reporting to the Assistant Director, Administrative Governance for NYUAD.
The Administrative Assistant will be required to perform a wide range of clerical, secretarial, and general office duties including those of a confidential nature, respond to inquiries displaying a comprehensive knowledge of the department’s activities, policies and programs. Also, the Adminsitrative Assistant will be responsible for updating department web pages and post department announcements, performing general word processing, spreadsheet and data design and entry duties utilizing intermediate-level functions, and monitoring moderately complex budgets and/or grants.
Key Responsibilities:
- Serve as source of information to the students, staff and faculty on policies, procedures and office activities and provide basic information
- Respond to general inquiries, resolve routine problems, and consult with supervisor or others, as needed, on more complex issues
- Schedule and receive invoices, request and process purchase orders
- Proofread documents for accuracy and completeness
- Create and update weekly data spreadsheets and monthly report tracking. Perform other general word processing and data entry duties
- Schedule appointments, maintain individual and/or department calendar, and make arrangements for meetings and travel to and from the University
- Monitor activity of moderately complex department budgets and/or grants and maintain data on spreadsheets
- Review expenses and invoices for accuracy, investigate discrepancies, and report results to supervisor
- Update department web pages and post timely announcements
- Utilize desktop publishing software to design and produce marketing materials for the department
- Perform other clerical duties: photocopy, form processing, maintain office files and records virtual and hard copy
- Provide support when needed to the ID Processing Team with on-boarding and printing ID Cards
- Provide support when needed to the Record Management Team with accreditation documentation
- Provide support where needed to the Residential Housing Department with occupancy data reporting and tenant experience initiatives
- Assist with the prioritization of office activities and delegate to and monitor work of student and/or casual employees
Qualifications:
Required Education:
- Bachelors Degree
Required Work Experience:
- 2 years of office experience
- Moderate accurate keyboarding
Preferred Work Experience:
- 2 years of office experience in an academic organisation
- Fluency with MS Office ( PowerPoint, Excel, Word, etc.)
- Fluent with spreadsheet creation and analysis
- Excellent verbal and written skills
- Team player and works well under pressure and deadlines
