ADMINISTRATIVE ASSISTANT II

Salary Grade : 8 (Php 18,998.00)

Reports to : Accountant III

CSC PRESCRIBED QUALIFICATION STANDARDS

Education : Completion of two (2) years studies in college

Training : 4 hours of relevant training

Experience : 1 year of relevant experience

Eligibility : Career Sub-Professional/First Level Eligibility

PREFFERED QUALIFICATIONS

Education : Bachelor’s Degree in Commerce/Business Administration major in Accounting

Training : 8 hours of training on Accounting for Non-Accountants, eNGAS

Experience : 1 year of experience in bookkeeping, accounting

JOB DESCRIPTION

The Administrative Assistant II is responsible for all clerical functions in the Finance and Administrative Division. He/she is expected to assist the Accountant in the preparation of required administrative and financial report. He/she shall also acts as Unit Document Control Officer (UDCO) in the Accounting Unit.

PRIMARY TASKS

  1. Record documents in database tracking system (DTS) to monitor incoming and outgoing documents;
  2. Receive and record incoming and outgoing disbursement vouchers including its supporting documents (i.e. PO's, LO, Payroll, Diskettes, MOAs, CAFs', others) to facilitate payment and filing;
  3. Assign numbers and stamp disbursement voucher and supporting documents for submission of payment;
  4. Receive and record ATRO to facilitate process of plane tickets;
  5. Encoding/Journalizing of entry vouchers for the financial reporting of the JJWC;
  6. Answer queries and follow up of payees regardingall disbursement vouchers received;
  7. Maintain files of Purchase Orders, CAF, and Payroll as part of annual COA audit;
  8. Encoding of data for importing to eNGAS;
  9. Encode matrix of disbursement voucher for taxes withheld from suppliers and dealers;
  10. Prepare Certification of Creditable Tax Withheld from the source; and

  11. Perform other tasks as may be assigned by immediate supervisor, Division Chief, Deputy Executive Director and Executive Director.


JOB OUTPUTS

  1. Recording of incoming and outgoing status of the Disbursement Vouchers

  2. Encoding/Journalizing of entry vouchers for the financial reporting of the JJWC
