Job Advert Summary:
The Senior Payroll Administrator will be responsible for the preparation of payroll (joiners, leavers, changes in salaries, medical aid, study loans, bonuses, travel claims, timesheets, garnishee orders, long service awards, overtime, standby allowances, nightshift allowances, recruitment rewards, unpaid leave, contract extensions, promotions, change in bank details & personal details etc) and be responsible for year-end payroll processes.
Minimum Requirements:
- At least 5 years proven payroll experience;
- Advanced knowledge of and experience with payroll processing and taxation requirements.
- Experience on VIP Premier and ODBC and Report Writer;
- Intermediate to advanced experience in Excel;
Duties and Responsibilities:
- Monthly end to end payroll process administration including preparation and calculation of ad-hoc payments such as overtime, nightshift, maternity benefits recovery, long service awards, recruitment rewards, and reconciliation of medical aid;
- Reconciliation of payroll;
- Preparation for review of payroll using an external control sheet;
- Run bank files from the VIP payroll system and import to banking platform;
- Send out payslips (via Info slips);
- Payment of third party payments (e.g. PAYE, SDL, UIF, medical aid, provident fund, garnishee orders);
- Preparation of Provident Fund Schedules and payments and reconciliation thereof.
Statutory obligations:
- Submit monthly EMP201 to SARS.
- Submit the UIF declaration file (contains UI-19 information) monthly to the Department of Labour.
- Submission of Quarterly Employment Statistics to Stats SA
- Reconciling YTD figures on the payroll system to payments made to SARS and reconcile differences;
- Creating the payroll submission file;
- Printing of EMP501 (for Tax Year End and Mid-Year Recons);
- Printing of IRP5s (Tax Year End) and distribution to employees via infoslips;
- Printing of year end reports for the relevant tax year;
- COIDA submission annually.
Tax Directives:
Leave administration:
- Prepare monthly leave pay provision reports.
General:
- Ensure that the payroll system matches the budget system and HR system (EE categories);
- Maintain awareness and understanding of statutory/regulatory/legislative changes impacting payroll;
- Act as point of contact for payroll related queries;
- Reporting and analytics pertaining to employment costs;
- Responsible for managing risk within the payroll function by reviewing processes to ensure compliance and fit for purpose;
- Ensure that adequate controls are in place to mitigate any risk.

- Working closely with the HR Advisors and HRBP’s;
- Ability to self manage and work to deadlines;
- Ability to work in a pressurized environment.
