Residential Administrator

Reporting to the V&A Residential Agent, the Residential Administrator provides administrative support with regards to the leasing and maintenance functions within the portfolio.The priority is to offer our residential tenants excellent customer service by providing administrative support and coordinating:(1) access with the tenants for repairs and maintenance or project work *(2) appointments with the internal operations department and occasionally external service providers on the services framework, and *(3) scheduling viewing appointments with the Residential Agent and new enquiries in the residential viewing diary

Job Objectives relevant to this job:
Administrative Duties

  • Daily reporting to and check-ins with Rental Agent and Maintenance team
  • Arrange suitable access to tenanted apartments
  • Set up appointments with tenants for planned maintenance
  • Send out notifications and communication to tenants
  • Monitor and purchase prepaid electricity vouchers via the online system for distribution to the facilities manager and residential agent.
  • Upload files documents on MRI
  • General and ad-hoc assistance to the Residential team

Customer Service

  • Always ensure excellent customer service
  • Actively seek ways to improve customer service by improving response and turnaround time
  • Maintain a 12-24hr week-day response time to all incoming mailbox queries
  • Consistently close the customer service and satisfaction loop by following up on all requests once executed to assess customer satisfaction

Stakeholder Management

  • Establish and maintain professional relationships
  • Liaise with prospective tenants, existing tenants, and internal business units as well as external service providers

Educational Requirements relevant to this job:

  • Business Administration Diploma or related qualification
