- De Beers Sightholder Sales South Africa (DBSSSA) sorts and values all of DBCM’s production. It is also responsible for local sales and works closely with its South African Sight holders, and industry at large, to drive beneficiation in South Africa. DBSSSA provides contract sorting activities to other diamond producers in South Africa. It aims to “Unlock the full value of SA diamonds by being ‘A cut above’ in all we do” which is aligned to the midstream strategy of being “the world’s most effective rough diamond distributor”. Job Description:
- The key purpose of the role is to perform all administrative duties relating to the project being executed and assist the Programme/Project manager with coordination of project activities; manage schedules and communication between all stakeholders.
Furthermore:
Safety, Health and Environment
- Be responsible for meeting the area’s SHE objectives and targets
- Contribute to instilling a Zero Harm culture in area by effectively participating in SHE initiatives
Co-ordinate Projects Meetings
- Arrange meetings with relevant stakeholders in-conjunction with the Project Team
- Minute keeping and distribution thereof
- Compiling reports where needed
Stakeholder Engagement
- Communicating with all stakeholders and interpreting stakeholder requirements
- Interpreting requests for data, extracts, confirming and distributing data
SAP
- Create Purchase Requisitions
- Follow up on Workflow ( Release Path)
- Engage with Supply chain
- Create & Capture Service Entries for Invoices received
Administration Effectiveness
- Provide an effective administrative and clerical service to the Project management team, taking cognizance of the need to ensure the confidentiality of information and documents as necessary, by;
- Collating, compiling and distributing documents as required, e.g. minutes, checking all documents for spelling and grammatical errors;
- Processing documentation for filing, mailing, authorisation or dispatch as per the requirements of the designated section.
- Maintaining an up to date filing system, archiving files
- Submitting orders for, inter alia, stationery and or refreshments as required, completing the necessary documentation and electronic orders, and controlling costs within the designated budget
- Managing the appointment diary and weekly and monthly programme for the project management team, screening requests, making relevant appointments and reminding the manager timeously of appointments.
- Co-ordinating relevant functions as appropriate, attending to inter alia: bookings, itineraries, accommodation, invitation lists, catering, venue and payments.
- Co-ordinating travel arrangements for the Project team when necessary.
- Qualifications
- Diploma in Business Administration, Project Administration or Co-ordination or equivalent
- Computer Literate in all MS office suite
Experience required:
- Extensive experience in an administration or project co-ordination role
- SAP Proficiency
- Stock Management Systems proficiency
Knowledge and Skills Required:
- Effective communication skills

- Professional conduct when dealing with stakeholder in order to foster healthy working relationships.
