Job Purpose and Objective
The Event and Youth Mentor and Leadership Development Coordinator is a Full-Time (35 hrs./week) position at HeartWood Centre for Community Youth Development. This position is funded through the Department of Community Services (DCS) and the person holding the position will be working closely with DCS coordinators.
You will be responsible to plan and coordinate these events while engaging, mentoring and supporting a small group of current or former youth in care through the event planning and delivery processes to help them have meaningful participation to inform the event content, as well as develop and grow their leadership skills within both youth in care focused events, and youth outreach program service provider training opportunities.
The qualified person will be the main coordinator and organizer for the following activities and events:
- *Outstanding Youth Awards (OYAs) *isan annual awards ceremony and celebration that recognizes youth in care ages 13 to 18 who have demonstrated significant personal success.
- *BLAST *provides youth in care attending high school (age 15 and over) with an opportunity to experience a 24-hour overnight event hosted at a post-secondary institution in Nova Scotia.
- Provincial Community of Practice and/or Professional Development gathering(s) for DCS funded
Youth Outreach Program staff.
Duties and responsibilities
- Mentor youth and support youth leadership and skill development to current or former youth in care through the engagement and participation in the planning and delivery of the OYAs and BLAST events.
- Collaborate with DCS Youth in Care coordinator(s) to recruit and engage 2 to 3 current or former youth in care to participate in the event planning committees Mentor, coach, and support these youth so they can actively participate in and inform event planning and delivery for youth in care using strengths-based and trauma-informed approaches to support their participation
- Support leadership, facilitation skills and self-care practices for the youth
- Provide opportunities for leadership and skill development in the planning and delivery process
- Support youth in preparation and planning for their role in upcoming engagements
- Take a lead role in the organization and planning of the following events: OYAS; BLAST and Youth Outreach Program Community of Practice and/or Professional Development gathering(s) YOP evening planning will be completed in collaboration with DCS, to help inform and determine the topics, activities, and logistics of events.
For each event/training this includes:
- Organize and chair event planning committees
- Create and manage a work plan for all events that outlines all tasks and timelines for completing tasks
- Work with the event planning team(s) to identify the date and location of events and training
- Find and secure event facilities in preferred geographic location and manage all event space and equipment, accommodation and food requirements
- Plan menu and snacks with the planning committee
- Identify with the event team what materials are needed, such as decor, signage, gift packages and prizes
- Procure and manage program materials required to support the event; purchase needed items for all events
- In collaboration with the planning committee identify, recruit and engage participants, keynote speakers, performers, and facilitators
- Create and produce the agenda and other resource materials needed
- Develop and manage communication through identified pathways to support engagement and the registration of youth in collaboration with DCS
- Manage event registration, travel and accommodation processes for participants and presenters as applicable.
- Identify staff and volunteer requirements
- Coordinate and provide on-site staffing and or volunteers and ensure that all have met the requirements of working with children in care as applicable
- Work within a predetermined budget
- Develop evaluation, and feedback tools, and provide a report of the evaluation to the funder
