The Administrative Assistant supports members of the Site Leadership with an array of administrative tasks that includes but is not limited to, managing the agenda, coordinating events, managing the budget of the office, executing the purchase of goods and services, arranging travel and expense reporting. The incumbent should be able to work independently within established guidelines and will make independent decisions regarding planning, organizing, and scheduling work.
What you’ll do:
- Manage the agenda of the appointed members of the Site Leadership team.
- Organize recurrent meetings, coordinate the production of the meeting content, prepare and distribute meeting minutes as well as follow-up with pending items
- Organize the production and execution off-cycle events in line with the event design and allocated budget defined by the group leader.
- Purchase of goods and services for the organization includes creating purchase orders and registering invoices in the corresponding system.
- Establish and maintain the relationship with the travel services provider, coordinate domestic and international travel as required for the supported leader and prepare and submit expense reports on behalf of the executive in a timely manner.
What experience you need:
- High school diploma or equivalent education required
- 3+ years of administrative assistant experience supporting senior management positions in a corporate setting
- Fully bilingual (B2+) in Spanish and English both written and verbal

- A high degree of emotional intelligence, with a passion for inclusion and equality
- Discretion, diplomacy, and excellent judgment
- Calm under pressure, able to cope with time-sensitive and critical tasks in a professional manner
- Advanced proficiency with MS Office Suite or Google Suite
- Fast learner and adaptable.
