EXECUTIVE PERSONAL ASSISTANT

The Executive Assistant to the CEO is responsible for providing comprehensive support to the CEO, and managing the

Problems with a high level of professionalism and confidentiality.
PRIMARY RESPONSIBILITIES:
- Provide calendar management for the CEO: o Prioritize inquiries and requests while troubleshooting conflicts; o Make judgements and recommendations to ensure smooth day-to-day engagements. o Work closely with the CEO to keep him well informed of upcoming commitments and responsibilities, following up appropriately.
- Provide “gatekeeper” and “gateway” roles, providing a bridge for smooth communication between the CEO, managers, and staff.
- Answer CEO phones and respond to inquiries.
- Provide hospitality to all guests and help to create a welcoming environment.
- Arrange and handle all logistics for meetings: o schedule meetings; o draft agendas; o develop, compile, and distribute presentation materials; o record, finalize and distribute meeting minutes.
- Complete a broad variety of administrative tasks that facilitate the CEO’s ability to effectively lead the organization, including: o assisting with special projects; o designing and producing complex documents, reports, and presentations; o collecting and preparing information for meetings and reports; o composing and preparing correspondence; o maintaining contact lists and updated legal compliance documents.
- Other projects/duties as assigned.
REQUIREMENTS/EXPERIENCE
- Fluent in Afrikaans and English.
- Strong verbal and written communication skills.
- Impeccable attention to detail.
- Ability to maintain a high level of integrity and discretion in handling confidential information.
- High degree of professionalism in dealing with diverse groups of people.
- Make appropriate, informed decisions regarding priorities and available time.
- Strong ability to execute work efficiently: o complete a high volume of tasks and projects with little or no guidance; o react with appropriate levels of urgency to situations that require quick response or turnaround.
- Expert/advanced proficiency with Microsoft Office: o ability to create and/or edit documents according to the required layout and format; o ability to design and edit graphic presentations and materials.
- Problem-solving skills with good judgment is essential.
