Position Summary:
The Medical Education Assistant is responsible for administration support of regional clinical placements for medical learners across the Grand Erie Six Nations (GE6N) Clinical Education Campus (CEC). They are also responsible for providing administrative support to the GE6N CEC Mac-CARE Site Director.

The Mac-CARE Education Assistant reports to the Director, Medical Affairs as their direct manager with additional accountability to the McMaster Manager, Mac-CARE Program and the GE6N Mac-CARE Site Director. The incumbent works collaboratively with the Mac-CARE Coordinator and the duties of the Medical Education Coordinator may be shared to support the coordinator.

Specific Accountabilities/Key Deliverables:
Learner Onboarding & Support

Working with the Mac-CARE Coordinator to support the coordination of medical learners at the GE6N CEC
Supports in the coordination of clinical placement opportunities at the Grand Erie Six Nations Clinical Education Campus which includes assist in processing all appropriate correspondence regarding rotations including licensure, malpractice, training verification, letter of good standing, etc., within a timely manner and in accordance with established policies and procedures.
Additional accountabilities for the coordination of all medical learner rotations including:
The tracking and coordination of medical learners at the GE6N CEC
Learner onboarding for the BGH site including;
IT set up
Dictation
Security (badges); and
Other set up as required

In person medical learner orientation including the provision of orientation packages (badge and IT login information), parking set up (as required) and a site tour.

Development and maintenance of sway documents as a part of learner onboarding.
On-site ambassador for the GE6N CEC space overseeing access to spaces including meeting rooms, simulation lab and learner lounge.
Coordination of GE6N call rooms and call room scheduling.
Communicating with preceptors regarding updates to the GE6N site.
CEC meeting scheduling
Organize and communicate placement details to impacted departments within the hospital
Communicating with preceptors regarding updates at the GE6N site

Administrative Support

Administrative support for the Mac-CARE GE6N CEC Site Director including calendar schedule support and GE6N
Liaising with medical learners to aid, answer questions and help resolve clinical placement issues as they arise
Coordination of GE6N call rooms and call room scheduling
Maintain an accurate database of trainee demographics and attendance days and maintain accurate medical trainee data for Ministry of Health reporting and funding purposes (McMaster Medical School Information System MedSIS)
Provides administrative support for the medical learner Simulation based educational activities (scheduling, room bookings, room access, equipment and inventory maintenance, faculty support in developing/operationalizing simulation activities)
Provides administrative support for the role to the Medical Education Coordinator in developing and organizing medical education activities
Attend Medical Education Committee meetings as required
Assists with defining preceptor availability (clinical capacity planning)
Attendance at relevant meetings as required.
Meeting support including the development and distribution of meeting agendas and recording and distribution of meeting minutes.
Support AV/IT videoconferencing/setup/troubleshooting, scheduling/booking for learner sessions and faculty academic rounds/events.

Learner Scheduling and Projects

Support the Mac-CARE Coordinator with the creation and maintenance of required UG/PG Call Schedules for the Grand Erie Six Nations Clinical Education Campus.
Assists with the timely distribution of updated call schedules to learners and hospital(s).
