Reports to: Service Manager

Summary
This position is responsible for the professional and efficient administration of invoice payment from service customers, responding to telephone calls and general service department queries. The position also handles a variety of clerical duties which include the maintenance and presentation of a professional office.

Duties and Responsibilities

  • Greets customers and visitors in the service department, ensuring optimum customer service.
  • Answers and directs phone calls, ensuring messages are delivered to the respective parties.
  • Maintains knowledge of basic dealership information to act as a resource for incoming callers requesting general information.
  • Answers customer questions as best to their knowledge or refers them to someone who is able, if they are unable to answer the question.
  • Handles customer complaints with integrity and poise and, when necessary, refers dissatisfied customers to the appropriate individual or individuals for resolution.
  • Makes changes and issues receipts to customers.
  • Reconciliation of cash drawers daily.
  • Maintains housekeeping and general cleanliness of the service reception area ensuring maintenance issues are reported immediately.
  • Develops and maintains an efficient, current file and record management system both for electronic and paper documentation.
  • Maintains complete knowledge of and complies with company and departmental policies, procedures and standards.
  • Maintains sensitive and confidential customer and company data safe and secure.
  • Maintains a positive working relationship with team members a n d management in a team environment.
  • Sets-up and organizes individual work area with designated supplies, forms and resource materials while maintaining cleanliness always.

Skills and Qualifications

  • Minimum of 1 year experience in a cash handling capacity.
  • Excellent interpersonal and customer service skills.
  • Must be able to communicate in English, written and verbal.
  • Excellent telephone etiquette.
  • Proficiency with Microsoft Office ; Outlook, Word, Excel.
  • Detail oriented and excellent organizational s kills.
  • Must be able to multi-task.
  • Ability to work efficiently and effectively under pressure with simultaneous deadlines.
