Administrative Assistant - USAID TRADE Project

*Primary Duties and Responsibilities:
Under the supervision of the Operations Manager the Administrative Assistant will be supported in managing the daily administrative duties and responsibilities including providing administrative support to ensure efficient office operations. Administrative assistants are responsible for confidential and time-sensitive material. Familiar with a variety of the field's concepts, practices, and procedures.

TASKS

  • Manage and supervise the responsibilities associated with the reception areas, providing a welcoming environment by greeting visitors/guests, addressing visitors' inquiries and requirements, and directing them to designated staff.
  • Operate standard office equipment on a regular basis, including fax machines, photocopiers, and computers.
  • Supervise and oversee internal events, organize meetings, handle the scheduling of the two meeting rooms, and ensure they are equipped with the necessary equipment Arrange and oversee in-house events, organize meetings, manage the scheduling of the two meeting rooms, and ensure they are set up with the necessary equipment.
  • Manage the office petty cash, conferring with the accounting department to review receipts, to help make payments, process incoming invoices, prepare regular reports on office expenses, verify receipts, reconcile, and reimbursement requests.
  • Manage the local transportation requests from the staff, arrange the trips, and maintain the driver log, review the invoices provided by the transportation companies.
  • Book travel arrangements for the staff, and answer employees’ queries concerning the hotel reservations.
  • Respond to staff questions and address their concerns.
  • Maintain an updated vendor list, contact list, and travel tracker.
  • Perform other duties as assigned.

Required Qualifications:

  • University degree in a related field.
  • 0-2 years of relevant work experience providing similar support, preferably in an international office environment.
  • Experience working on a USAID project is a plus.
  • Excellent written and communication skills as well as interpersonal skills.
  • Excellent active listening skills, a friendly and outgoing nature, and the ability to support a large team including international professionals.
  • Attention to detail is essential.
  • Well organized, strong analytical skills, innovative, and demonstrated personal initiative.

Project Overview and Role:
USAID’s Trade Reform and Development in Egypt (TRADE) project builds on decades of U.S. investments in Egyptian businesses and economic policy with the aim of substantially increasing Egyptian exports from Small and Medium Enterprises (SMEs). The TRADE project focuses on seven selected sectors: engineering products, food processing, home têxtiles, ready-made garments, printing & packaging, chemicals, and building materials. Through the project, USAID works with the Government of Egypt to improve the trade and investment policy environment and reduce barriers to trade. USAID also partners with business associations and export councils to strengthen the trade services ecosystem for small
