Reception - Community Employment

The Receptionist is responsible for providing secretarial, clerical and administrative

support in order to ensure that services are provided in an effective and efficient

manner.

Shift times: 3pm - 10pm. Requiring 3 shifts per week.

Task Overview
Ensure all visitors to the YMCA are welcomed with a friendly and professional

  • manner.- Provide all customers/visitors with the information they require in a timely and
  • professional manner following all systems in place.- Deal with general enquiries including bookings both in person and by
  • telephone.- Operation of the public address system.
  • Hiring of equipment, taking of deposits, selling goods and giving change.
  • Maintain a good product knowledge of the services available across the
  • YMCA.- Ensure that the reception area is maintained in a clean and tidy manner at all
  • times.- Ensure that the cash handling procedures are adhered to.
  • Ensure all systems/process/procedures are completed during and at the end

of each shift.

Main Job Tasks and Responsibilities;
To take bookings and monies and to reconcile cash with bookings at the end of the
day.
To control entry into the YMCA.
To be responsible for the safe handling, administration and storage of all financial
transactions.
To be responsible for the efficient and accurate operation of the computer based
booking system.
To provide a first line of communication for enquiries, complaints and messages.

services.
To liaise with the management team in order to seek consistent improvements in
efficiency and customer service.
To attend team meetings and staff training sessions as required.
To be knowledgeable of the different services within the organisation.
General administrative and clerical support.
Up selling of Crèche, Gym Membership and Room Rentals.
Communicate and coordinate with internal departments.
As a term of employment, you may be required to undertake such other duties
and hours of work as may be reasonably required.

You will be required to undertake training and retraining where necessary, as
outlined by the YMCA.
