Overview of the role:
The Utility Planner is responsible for the planning development and scheduling of all maintenance activities on Utilities equipment in their respective building in line with details in the site SAP system, as well as any follow-up activities required. The Utility Planner will also review data trends after maintenance work is done and review any aspects of the maintenance activities that need changing to make the process more efficient.

Duties of the Role include:

  • Development and planning of Maintenance programs in accordance with cGMP regulations, applicable safety considerations, EWI’s and SOPs.
  • Co-ordinate the activities of the Maintenance planning and scheduling within the Core utilities areas to ensure full on time compliance with Maintenance and calibration intervals.
  • Liaise & Co-ordinate planning activities with Core Utilities planners
  • Co-ordinate any call-out service contracts in line with PM schedules
  • Report Key Performance indicators on a weekly and monthly basis to the Contract Manager
  • Support the reporting of KPI’s on a weekly & monthly basis
  • Assist in the handover process where key deliverables relating to the planning role must be reported and documented.
  • Support the performance of corrective, preventive and project Maintenance, resource planning and scheduling of Maintenance activities.
  • Develop standard hours for Maintenance tasks.
  • Work with process and facilities teams as required facilitating maintenance activities.
  • Development and implementation of systems for scheduling and documenting the performance of Preventive Maintenance, Corrective maintenance, Soft parts change out and calibrations.
  • Support the trending and analyzing of performance data to evaluate the effectiveness of calibration and maintenance systems.
  • Record spares usage using data taken from SAP.
  • Utilize software programs designed to support the planning and scheduling of Maintenance and Calibration activities.
  • Ensure all Vendor contracts are complete as per contract scope.
  • Arrange all Area & System Shut
  • Downs in accordance with cGMP.
  • Ensure all Maintenance doc is complete month on month.
  • Develop knowledge of Utilities system interdependencies and identification of potential downtime
  • To assist with the co-ordination of annual shutdowns.
  • Monitor training ITP for the Maintenance / Cal’s technicians and liaise with OL on R & U
  • Manage the execution of the utilities maintenance program and organisation structure in order to achieve and sustain optimum reliability, maintainability, useful life, and life cycle cost for utilities assets.
  • Implement and participate in utilities reliability programs as per the client
  • Drive local reviews of maintenance performance data using published maintenance excellence KPI results, areas that will be reviewed and improvements sought:

  • Spares cost

  • High levels of paperwork
  • PM:CM ratio
  • Maintenance man-hours per equipment/system
  • MTBF
  • MTTR
  • Equipment reliability trends
  • PM program content is to be reviewed on regular basis to remove non-value-added activities’ and duplication.
  • Develop long term (5 year) life cycle costing for asset replacement plans (equipment moving towards end of life)
  • Ensure that the CMMS system contains the most up to date information regarding equipment data, spares and maintenance man-hours.
  • Maximise maintenance wrench time utilisation through effective planning.

Required skills for this role:

  • Educated to trades / diploma / degree level
  • Have good computer skills, particularly Microsoft Excel
  • Minimum of 2 years’ experience in maintenance planning, execution and administration of utility and or process equipment e.g. HVAC, WFI, clean steam, instrumentation, utilities and liquid-handling equipment
  • Evidence of self-development and leadership
  • Strong customer focus, with good interpersonal skills and a flexible approach
  • Proven track record in the implementation of maintenance improvement processes
  • Experience in developing and implementing a planned maintenance programme, corrective maintenance condition-based maintenance, opportunity maintenance and major shutdown overhaul and repair
  • Excellent organisational skills
