Job Overview

Duties

  • Managing incoming calls with professional phone etiquette and directing enquiries appropriately
  • Organising and maintaining filing systems, both physical and digital, to ensure easy retrieval of information
  • Data entry and updating records accurately using Microsoft Office programmes and Google Workspace tools
  • Assisting with invoicing, bookkeeping, and financial record keeping using QuickBooks
  • Scheduling appointments, meetings, and maintaining calendars for staff members
  • Preparing correspondence, reports, and presentations as required
  • Supporting other administrative functions such as ordering supplies, managing mail, and coordinating office activities
  • Ensuring the office environment remains tidy, organised, and welcoming for visitors and staff alike

Skills

  • Proven office experience with strong organisational skills
  • Experience with QuickBooks or similar accounting software is desirable
  • Excellent typing speed and data entry accuracy
  • Strong organisational abilities to prioritise tasks effectively in a fast-paced environment
  • Good communication skills with professional phone etiquette
  • Demonstrated clerical experience supporting administrative functions efficiently
  • Ability to adapt quickly to new software or procedures as required
