We are are looking for an experienced medical secretary / receptionist to join our team on a long-term basis in a busy GP practice in Dublin 7. This role requires an efficient, friendly and capable person, with excellent telephone skills and the ability to work as part of a team in a busy environment.

The role is 4 days / 32 hours per week (days required are Monday, Tuesday, Thursday and Friday each week (Wednesday off)).

Duties of the role include (full job description available by request):

  • Scheduling and managing patient appointments in a friendly and efficient manner, on the telephone and in person.
  • Taking and processing payments.
  • Managing patient queries in person and on the phone.
  • Issuing correspondence and documentation in an accurate and timely fashion as necessary.
  • Updating and maintaining patient records, including computerised and paper-based as appropriate.
  • Follow practice procedures and policies and participate in quality improvement to increase efficiency and effectiveness
  • Process, manage and follow up third party requests (such as hospitals, pharmacies, third party clinics etc.) in accordance with practice procedures.
  • Process claims and returns.
  • Work together with clinical and other admin colleagues, with a strong focus on high standards of care and service.

Skills and experience required:

  • Previous experience (minimum 3 years) in a busy medical practice or varied, customer-facing administrative role.
  • Professional, friendly and confident telephone manner with the ability to manage a busy switch with efficiency and sensitivity.
  • Excellent organisational skills, accuracy and attention to detail.
  • Excellent communication and presentation skills and be a positive team-player.
  • Proactive approach to problem-solving and the ability to multi-task within a busy environment.
  • Able to work on your own initiative and to prioritise workload; flexibility to cross-cover holiday periods and additional hours will be an advantage
  • Clear understanding and strong ethos of confidentiality.
  • Professional attitude and high standard of personal presentation at all times; Punctual, reliable and self-motivated.
  • Ability to develop and maintain professional relationships with patients, colleagues, clients etc.
  • Ability to manage patient expectations and deal with conflict and challenging behaviour in a calm, professional, appropriate manner.
  • Excellent IT Skills including patient management systems (for example Socrates) and Microsoft Office packages. Previous experience of Socrates or other GP software will be an advantage.

Job Types: Part-time, Permanent

Pay: €15.00-€17.00 per hour
