Join Our Team - Customer Service & Sales Order Processing Coordinator (Full-Time, In-Office)

We are a growing furniture wholesalerseeking a highly organized and customer-focused Customer Service & Sales Order Processing Coordinator to join our growing team. This role is essential in ensuring smooth order processing, exceptional customer support, efficient logistics coordination, and professional after-sales service support while maintaining the high standards associated with the Whiteline Modern Living brand.

What You’ll Do

Order Processing & Sales Support

  • Process and manage customer sales orders accurately and efficiently from order entry through final delivery
  • Verify order details, inventory availability, pricing, and shipping information
  • Support sales representatives with order updates, customer requests, Shipping quoates, and account coordination
  • Monitor order status, backorders, and shipment timelines to ensure timely fulfillment
  • Provide showroom sales support when needed and assist walk-in clients professionally
  • Welcome clients and visitors to the showroom while maintaining a professional and brand image

Customer Service & After-Sales Support

  • Provide exceptional customer service and professional support to clients, dealers, and sales representatives
  • Respond promptly to customer inquiries regarding orders, products, deliveries, availability, and after-sales concerns
  • Handle after-sales service requests, product claims, damages, replacements, and warranty-related issues professionally and efficiently
  • Coordinate with warehouse, logistics, and management teams to resolve customer claims and service issues in a timely manner
  • Follow up with customers to ensure resolution satisfaction and maintain strong business relationships
  • Maintain a high level of customer satisfaction aligned with Whiteline Modern Living’s service standards

Logistics & Coordination

  • Coordinate deliveries, shipping schedules, and logistics with warehouse, freight carriers, and transportation providers
  • Work closely with warehouse teams to ensure smooth and accurate order fulfillment
  • Follow up on shipment updates and proactively communicate any delays or issues to customers and sales teams

Administrative & Operational Support

  • Maintain organized customer records, purchase orders, shipping documents, claims records, and filing systems
  • Assist with payment processing, account follow-ups, and coordination with the accounting department when needed
  • Support daily sales office operations and ensure effective communication across departments
  • Help improve operational efficiency and maintain accurate documentation and reporting

Qualifications

  • Strong organizational, time management, and multitasking skills
  • Excellent communication and customer service abilities, both written and verbal
  • High attention to detail and accuracy in data entry, order processing, claims handling, and documentation
  • Ability to work efficiently in a fast-paced, team-oriented environment
  • Experience with ERP systems, order management, logistics coordination, after-sales support, or sales support is a plus
  • Previous experience in the furniture industry is required
  • Experience in wholesale, distribution, or luxury furniture products is strongly preferred
  • Professional attitude, problem-solving mindset, and ability to take ownership of responsibilities
